Using your Check-In Manager

The Check-In Manager makes event day easy. Scan QR tickets right from any device, or manually check guests in — no app download, no hardware, no headaches. Multiple team members can use it at the same time. 

💡 You must be a logged-in SeeMyLegacy user to access the Check-In Manager.

Opening the Check-In Manager

From your Ticketing Campaign, click Activity Log, then select Check-In Manager in the top right corner. This opens your live guest list.

Option 1: Scan a QR Ticket

At the bottom of the Check-In Manager, tap Scan QR Ticket. Your device camera will activate — point it at the guest's QR code (on their phone or printed ticket) and they're checked in instantly.

Each ticket in a purchase is tracked individually, so if a buyer has 3 tickets, you'll check in each one separately.

Scanning Printed vs. Mobile Tickets

Ticket holders can show their QR code in two ways — either works great for scanning:

  • Mobile: They open the ticket PDF on their phone and hold it up to your device's camera
  • Printed: They bring a printed copy of their ticket PDF. The QR code scans just the same.

Scanning QR Tickets 

 After scanning a QR code, you'll see one of two results:

  • Ticket Checked In! (green): The ticket is valid and the guest is now checked in. You'll see their name, ticket type, and ticket ID confirmed on screen.
  • Ticket Already in Use! (pink): This ticket has already been scanned and checked in. If this appears unexpectedly, you can return to the guest list and reset their check-in status if needed.

After either result, tap Scan Another QR Code to keep the line moving, or Return to Check-In Manager to get back to your guest list.

Option 2: Manual Check-In

Prefer a quick tap? Find the guest in the list using the search bar or by scrolling, then click the checkbox next to the ticket you're checking in. It marks them as arrived right away.

Resetting a Check-In

Checked someone in by mistake? No problem. Just uncheck the box next to their ticket in the Check-In Manager. You'll be asked to confirm the reset, and once confirmed, the ticket will be marked as Not Checked In and the QR code will become valid again for scanning. 

💡 This works for both manually checked-in guests and QR-scanned tickets.

Enabling Camera Access for QR Scanning

To scan QR tickets, your browser needs permission to use your camera. If you're prompted, select Allow. Here's how to enable it if you need to turn it on manually: Safari (iOS/macOS)

  1. Go to Settings > Safari > Camera
  2. Set to Allow Chrome (Android / Desktop)
  3. Click the lock icon in the address bar
  4. Select Camera and set to Allow Firefox (Mobile / Desktop)
  5. Click the lock icon in the address bar
  6. Click Connection Secure > More Information > Permissions
  7. Set Camera to Allow Edge (Desktop)
  8. Click the lock icon in the address bar
  9. Select Permissions for this site
  10. Set Camera to Allow 

💡 Camera access must be enabled on the specific device and browser you're using for check-in. If multiple staff are checking guests in, each of their devices needs camera permission enabled.

Tips for a Successful Event Day

  • Test the Check-In Manager in the Days Before Your Event!
  • Create a “Private” Free Ticket and have your team “check out” as a ticket purchaser. Go through the process of checking them in with QR Scan of their digital tickets to make sure you are ready for your events
  • Assign multiple team members to the Check-In Manager to move lines faster — there's no limit on simultaneous users.
  • Use the search bar to quickly pull up a guest by name, email, phone, or ticket ID.
  • Filter by Ticket Option to manage different entry points (e.g., one line for VIP, one for General Admission).
  • Check-in status syncs live across all devices, so your whole team sees the same data.
  • Once your ticket holders have checked in all their guests, they’ll be marked as “All Checked In” - you can can collapse this entry to focus on incoming guests.
