Volunteer Activity: Automatic Actions After the Volunteer Deadline

When managing volunteer opportunities, SeeMyLegacy automates key parts of your workflow to ensure clarity, prevent late sign-ups, and keep your volunteer options up to date. These automatic actions apply to any volunteer option with a designated end date.


Automatic Email to Notification Recipients

For any volunteer option with an end date, the Notification Recipient for the campaign receives an automatic reminder email one day before the volunteer opportunity is set to close.

  • Email is sent around 12:00 PM (noon) EST one day prior.
  • The reminder explains that the volunteer option will end tomorrow and will be unposted the following day.

Example

  • Volunteer end date: 12/11/2025
  • Reminder email sent: 12/10/2025 at approximately 12:00 PM EST
    • Email notes the option will end 12/11 and unpost 12/12.

This gives your team time to finalize volunteer planning or communicate last-minute updates.


When the Volunteer Option Closes

After the volunteer end date passes, SeeMyLegacy automatically unposts and marks the option as private.

  • Unposting occurs at approximately 3:00 AM EST on the day after the end date.
  • The option stays visible through the full end date for any day-of volunteer sign-ups.
  • Once unposted, no additional volunteers can register.

Example

  • End date: 12/11/2025
  • Active through: 11:59 PM local time on 12/11
  • Automatic unposting: 3:00 AM EST on 12/12/2025

This ensures clean transitions across all time zones and prevents late sign-ups from slipping through.
