Volunteer Campaigns: Automatic Actions Following Participation

When a Volunteer signs up for your Campaign, several automatic actions and email notifications are triggered. This ensures both your team and the volunteer have the information they need.


1. New Volunteer is Added to the Activity Log

Every new volunteer is automatically recorded in your Campaign’s Activity Log. 

Each Activity Record includes:

  • Volunteer Details
    • Basic contact information: name, email, phone number, organization name
    • Responses and file uploads from form submission
  • System-generated Document 
    • Summary Document is auto-generated by SeeMyLegacy and summarizes the new volunteer sign up

The Activity Log gives your team one central place to view and manage all volunteer information tied to the Campaign, and can be exported to Excel or CSV format at any time.

 

2. SeeMyLegacy Users Receive an Email Notification with a Summary Document

When a new volunteer signs up, notification contacts assigned to the Campaign will automatically receive an email notification. This email includes a summary document with the volunteer's details.

3. Volunteer Receives Confirmation + Reminder Emails

Volunteers will automatically receive a confirmation email after completing the sign up and a reminder email 24 hours before their scheduled event. These emails include the core details of the event the volunteer has signed up for.

  • Confirmation Email: The email volunteer receives immediately following signing up.
  • Reminder Email: The email volunteer receives 24 hours prior to volunteer event. This email is only sent if your Volunteer Item has a Date assigned.
